Introduction This article provides answers to frequently asked questions about the NotebookLM service available within Google Workspace for Education. Applicability This article is intended for current Students, Faculty and Staff who have an active CCID. Details Google NotebookLM is an AI-powered note-taking and research assistant, and offers a powerful solution by acting as a personalized AI expert grounded in the documents and sources you provide. Think of it as your virtual assistant that can summarize facts, explain complex ideas, and brainstorm new connections - all based on what you input. Learn more about using AI at the University of Alberta. How do I access NotebookLM? There are two ways to get started with using NotebookLM: The web app at https://notebooklm.google.com The mobile app for Android and iOS How does NotebookLM work and what can I do? After uploading your documents, NotebookLM becomes an instant expert in those sources so you can read, take notes and collaborate with it to refine and organize your ideas. Key features Gain new understandings about any document Convert complex material into easy-to-understand formats like audio overviews, FAQs or briefing docs A chatbot grounded in your sources Upload your documents and NotebookLM will answer detailed questions or surface key insights Structure information with a branching diagram Summarize your uploaded sources, showing main topics and related ideas as a mind map How do I create and use a notebook? Create notebooks by uploading your sources in various formats (like Google Docs and slides, PDFs, web URLs, copied text, YouTube URLs). You can then ask questions about the information in your sources, and NotebookLM will respond with an answer and inline citations. These citations show you where in the sources the answer is based on. You can also use NotebookLM to generate a variety of content based on your sources, like summaries, briefing documents, timelines, FAQs, study guides and audio overviews. Adding sources On your computer, open NotebookLM Click on + Add Source in the left panel Click Insert Querying your sources View an automatically generated summary of all your sources in the center of the screen Ask questions about your sources by typing at the bottom of the screen Use the Studio panel on the right to create outputs grounded in your sources: Create an audio overview Create an FAQ, study guide, table of contents, timeline, or briefing document. Add notes to your notebook Generate a mind map Keeping your sources up to date Add and delete sources as you go to ensure high quality, relevant responses Why can’t I share a “Chat only” notebook, view usage analytics, or access advanced chat settings? These NotebookLM premium features are not available for U of A accounts. Additional limitations may also apply. Are there any limitations when using NotebookLM? With NotebookLM, you can have up to 100 notebooks, with each notebook containing up to 50 sources. Each of those sources can be up to 500,000 words long. All users start with up to 50 chat queries and 3 audio generations per day. How is NotebookLM different from the Gemini App? Both services are powered by Google's Gemini AI models and have similar features. NotebookLM’s focus is as a personal note-taking and research assistant, helping you understand and generate insights from specific uploaded sources you provide. In contrast, the Gemini App is a broad, conversational AI assistant that draws on vast internet knowledge for a wide range of tasks, from answering questions to generating creative content. Are my Notebooks reviewed by Google or used to train Google AI models? No. NotebookLM is a core Google Workspace service supported by Information Services and Technology (IST) and is therefore included and protected by the University of Alberta’s agreement with Google. Interactions with NotebookLM stay within the University of Alberta and they are not reviewed by humans or otherwise used to improve Google's generative AI models. What do I need to consider when submitting information to NotebookLM? U of A Google Workspace is approved for storing and sharing the university's business, academic, research and administrative information and records. Extremely sensitive information such as identifiable patient and health care information, social insurance numbers and passport information, is not to be stored in or shared through U of A Google Workspace applications, including NotebookLM. Verify It's You Google Prompt
Introduction This document describes the steps required to resolve the Google verification prompt that may appear when attempting to assign delegates for a secondary CCID. Applicability This article is for users that come across the Google Prompt when trying to assign a delegate for secondary CCIDs. Before You Begin This error occurs when an individual adds a secondary CCID to their mobile device, which will enable Google Prompts. IMPORTANT This is an automatic feature by Google and cannot be bypassed by IST or disabled. Procedure To resolve this issue, wait 7 business days for the verification prompt to resolve itself. After which you will be able to assign delegate access to the secondary CCID. Alternatively, follow the below steps to have this issue resolved faster. However you will still need to wait 3 business days for the Google Prompt to reset. 3. While logged into the secondary CCID, navigate to the Manage Devices page: Select the profile icon on the top right Select Manage Your Google Account Click on Security on the left navigation pane Alternatively, this is the direct link: https://myaccount.google.com/security?gar=WzJd&hl=en&utm_source=OGB&utm_medium=act Next select Google Prompt under the How You Sign Into Google section. If the following page appears, you are likely logged into your primary CCID, and may need to use an incognito browser. Select Manage Devices on the Google Prompts page Scroll down to the mobile device and select any active sessions Next select Sign Out Repeat steps 6 and 7 until all active sessions have been signed out Once this is done please wait 3 days before the verification no longer occurs. IMPORTANT It is possible that the individual who signed into the secondary CCID on their mobile device will sign in again. In order to prevent this, please reach out to your department Authorized Approver to have the password reset. It is recommended to assign delegates to a secondary CCID, rather than accessing it directly.
