Open a Private or Incognito Browsing Session
Introduction This article is intended for anyone who needs to open a private or incognito browsing session in their main browser. Applicability This article is intended for all U of A account users that use one of the 4 standard browsers covered in this article: Chrome, Edge, Safari, and Firefox. Details Using a private or incognito will open a browser session that doesn't use any previously stored account, browsing, or add-on data, and data about your browsing session is not saved. Private browsing is useful for troubleshooting issues with a website or service as private browsing sessions do not use any data or accounts saved in your browser. Introduction Your data on your computer can be saved in multiple locations, but if it is saved on the network, the data can be accessible on multiple computers as well. The University of Alberta (UofA) provides access to network drives and Google drives, and recommends them instead of the local drives. The data stored on Local drives cannot be shared through the network and the data is not accessible by any analyst unless they can work on the computer itself. For this reason, IST analysts will always recommend storing files on either network drives or Google Drive. Typically on Windows, the local drive is the C drive: On MacOS, all the folders that are not in the Location section (screenshot below), are local files Define Network Drive Network drives store files/information on the UofA servers that are set up by IST. UofA analysts can provide access to these network drives through your computer’s Active Directory (AD) domain account. Currently, these instructions apply for domain accounts under the central domain but they should be similar for non-central domains The central domain for UofA is sts.ad.ualberta.ca Refer to KBA – FAQs about Domain Accounts for AD accounts and the list of departments under the central domain “Adding network drives” is identical to “mapping network drives”: Mapping a drive in Windows is the association of a local drive letter with a shared storage area to another computer over a network to make connection quicker and easier Mapping drives also mean connecting to the UofA servers that contains the folders Drives can be manually mapped using the specific path to connect to the servers On Windows: Users should have their drives automatically mapped, no matter when the computer was set up If the drives are not mapped automatically, follow instructions mentioned in Section 1.0 for Standard Process On MacOS: Drives will not be mapped automatically Drives can only be mapped after using the drive path (obtainable from IST or from direct supervisor) If you have the drive path, follow instructions mentioned in Section 2.0 for Standard Process Define Google Drive Google Drive is a core UofA service that is included with ualberta Google and it is an effective workspace that enables intelligent and secure collaboration in the cloud network: Refer to ualberta – Core Apps and Consumer Apps for details You can access the Drive or Google Apps by referring to ualberta – Access your Google Account Google drives are available on the network, thus available on multiple computers These folders/files can also be shared with multiple Google accounts (refer to Google – Share files from Google Drive for instructions) For this reason, IST analysts will always recommend storing instructions and usage Standard Process 1.0 Windows: Missing network drives Solution: Check if your drives are hidden/collapsed within File Explorer as mentioned in Hidden network drives Confirm that you are connected to the UofA network If you are on campus, network tips are mentioned in Windows: Onsite connect to network If you are off campus, network tips are mentioned in Windows: UWS connect to network If the drives are not hidden, resync the drives/printers as follows: Open File Explorer in enter the following path in the address bar in File Explorer: \\sts.ad.ualberta.ca\SYSVOL\sts.ad.ualberta.ca\scripts\slogic.bat Click on Run in the Security Warning window Wait for the Quest progress bar to complete Check your drives in This PC again to check if they are added properly Lastly, if syncing does not work, refresh the account information saved on your computer: Open File Explorer Double click Local Disk (C:) Locate the Desktop Authority folder and right click it to select Rename Rename the folder to Desktop Authority Old Restart your computer and login to the computer Check if the drives exist in This PC If unresolved, please contact IST 1.1 Windows: Remove network drives Open File Explorer by right-clicking on Start then select File Explorer Expand This PC (or Computer) on the left panel if it is not already expanded Right click the mapped drive you wish to remove and click Disconnect If there is a desktop shortcut, right click on the shortcut and click Delete 2.0 MacOS: Map network drives These instructions will help you map the drives if you have the following prerequisites: The path of your network drive Your AD domain credentials (which can be different from your MacOS credentials) Connection to the UofA network Please follow these instructions to map the drives manually on MacOS computers: First, check if you are connected to the UofA network If you are on campus, network tips are mentioned in MacOS: Onsite connect to network If you are off campus, network tips are mentioned in MacOS: UWS connect to network Now to connect to drives, in the Finder on your Mac, choose Go then Connect to Server Click Connect after entering the path of the network drive as shown below Your drive may be already saved in the Favorite Servers If it’s not in Favorites, enter the path in the address field in the format smb://DNSname/sharename Type your domain username and password then click Connect After connecting, at the top nav bar of Finder , click on Finder -> Preferences… Click General, then make sure the Connected servers checkbox is selected Click Sidebar, then make sure the Connected servers checkbox is selected Check if the drives exist in Finder If unresolved, please contact IST 2.1 MacOS: Remove network drives Disconnect and remove server from Favorite Servers: Open Finder by clicking the Finder icon on your dock In the Finder on your Mac, choose Go -> Connect to Server Select the server you wish to remove and click the - (minus) symbol Drag the icon from your desktop, if it exists, to the trash Remove the server from Login Items There may or may not be a reference to the drive you are attempting to remove in Login Items Open System Preferences by choosing the Apple menu-> System Preferences Open Users & Groups Click Login Items Select the drive / volume you wish to remove and click the - (minus) sign Troubleshooting Tips 1.0 Windows: Hidden network drives Cause: The drives may be hidden within File Explorer Solution: Open File Explorer by right clicking the Start button and select File Explorer. Click This PC on the left pane Check if the section is hidden when the arrows look like this > like the screenshot below Once you click the arrows your screen should look something like this: 1.1 Windows: Onsite connect to network drives This section only applies if you are onsite at your office, where you have access to an ethernet port If you have a laptop and you only have wi-fi access, move on to Section 1.2 These instructions describe how to connect properly to the ethernet: If the drive has a big red X next to it, double click and check if you can open the drive There are times when the red X can connect after retrying If you have a network error as shown below, first restart the computer Check if you can search anything on Google to test your internet connection If restarting does not resolve the solution, check if your internet connection is through ethernet the bottom right of your computer should show the ethernet icon Unplug, replug the ethernet cable from your laptop/desktop You should see two small lights flashing near the network cable as shown below If your computer plugs into your Cisco phone make sure your phone is working. Look at the bottom of your phone. Make sure that one cable goes from the phone into the wall and that the other cable goes from the phone into the computer as marked in the image below. Try unplugging both cables from the bottom of the phone and plugging them in again. If basic troubleshooting has shown the ethernet icon, retry the drive If unresolved, refer to IST – IT Service Catalog to create a ticket to IST 1.2 Windows: UWS/Wifi connect to network drives This section only applies to connecting wirelessly to the internet through your laptop. If you have no access to the ethernet cord at your UofA office, you will need Cisco VPN to access the UofA network and its drives: Click on the Start menu and search through your applications for Cisco AnyConnect Secure Mobility Client If you do not have it installed, refer to KBA – Access the University of Alberta VPN for the download and setup instructions for Cisco VPN Make sure you connect using your CCID credentials as follows: If entering credentials shows Login failed error, create a ticket by refer to IST – IT Service Catalog for @uanet vpn access to map drives with _ ccid Once you can login, you should be able to open your drives 2.0 MacOS: Onsite connect to network drives This section only applies if you are onsite at your office, where you have access to an ethernet port Macbooks do not have specific icons to show that you are connected to ethernet If you have a laptop and you only have wi-fi access, move on to Section 2.2 For Macbooks, the only way to check ethernet connection is through the System Preferences: Open System Preferences Click Network You should see another green connection besides Wi-Fi as shown below: 2.1 MacOS: UWS/Wifi connect to network drives This section only applies to connecting wirelessly to the internet through your laptop. Since the domain works through the UofA network, most of the account configurations would work if connected through the ethernet connection. KBA Objective: This article provides common procedures and solutions to issues encountered by domain accounts. There is also a brief definition of domain, central domain (STS) and Active Directory (AD). Applicability Target Audience: Anyone on the central domain (sts.ad.ualberta.ca) Non-applicable: No CCID resets/account information is listed in this article Local computer accounts are highly restricted and will not apply to the central domain Procedure Basic Information Define domain and Active Directory (AD) Define central domain Standard Process 1.0 Logging into domain computer 2.0 Reset your domain password 3.0 Identifying domain for non-STS computers Troubleshooting Tips 1.0 Account locked out 1.1 Account expired 1.2 Account disabled 1.3 Domain isn’t available 2.0 Basic issues to log into domain 3.0 Supported Departments under Central Appendix Related Knowledge Basic Information Define domain and Active Directory (AD) A domain exists in the Microsoft’s Active Directory (AD) network and it consists of multiple objects: Objects can be one computer, a group of users, or security groups that allow access to drives and/or printers Active Directory is a big database on Microsoft that businesses commonly use to store information as a folder-system Since the AD is for Microsoft, UofA does not connect Macbook devices to the domain At the University of Alberta, many faculty and staff use Microsoft Windows as their day-to-day computer operating system. Management of large groups of users can be done with Microsoft Active Directory (AD) which provides a comprehensive framework for managing a group of users and computers in what is called a "domain". The UofA separates accounts into: CCID (Campus Computing Identification) accounts: used for accounts related to Google and most websites AD accounts: used with most devices/computers in the office (e.g., office printers, desktops, computers, etc.). Define central domain There is a central domain for most of the faculties/departments within the UofA called: sts.ad.ualberta.ca STS stands for: Shared Technology Services IST has been slowly transitioning multiple departments into one centralized IT support system, but all these departments used to have different non-STS domains Users can log into any STS desktop (or an STS laptop through ethernet connection) and have their drives/printers configured automatically The list of departments/units using STS is mentioned in Supported Departments under Central Standard Process 1.0 Logging into domain computer This section provides instructions on logging into your UofA computer (connected to the domain) for the first time: After you have logged into that computer once, it will save your login information as a local copy until you can sync your information again after connecting through an ethernet connection. If you are off campus and trying to log on to a computer, you must have logged on to that computer at least once while on campus The instruction for first logins are as follows: Make sure you are on campus with access to your departments’ offices and an ethernet cord Check connection is mentioned in Domain isn’t available Check if your computer is part of the central domain (sts.ad.ualberta.ca) Refer to KBA – Confirming if your computer is part of the Central Domain (sts.ad.ualberta.ca) for instructions on checking if your computer is on the domain If your computer is not part of the Central Domain, contact the Staff Service Centre If it is on the central domain, log in with your AD domain credentials New users may be provided temporary passwords during your onboarding process (or from your supervisor) FAQs for logging in are mentioned in Basic issues to log into domain Look through the solutions mentioned in Troubleshooting tips for account issues (i.e., locked out, expired, disabled) If unable to login contact the Staff Service Centre and be prepared to provide the following information: Full name CCID Department and/or sub-department Error messages during login 2.0 Reset your domain password These instructions only apply if you can successfully log into your computer, but you wish to reset your AD password: Refer to KBA – Reset or modify a domain password for full instructions Note that the KBA should be followed exactly and any change in passwords outside of the UofA network will not sync to the domain properly 3.0 Identifying domain for non-STS computers After referring to KBA - Confirming if your computer is part of the Central Domain (sts.ad.ualberta.ca), if the domains are not under STS, note down the word/acronym that replaces STS in the screenshots. Troubleshooting Tips 1.0 Account locked out Error message: The referenced account is currently locked out and may not be logged on to. Cause: After 10 incorrect attempts to log into your Central Domain account it will become locked for 2 hours. Solutions: Wait for two hours and try again Contact the Staff Service Centre with the following info: Full legal name CCID 1.1 Account expired Error message: The user’s account has expired. Cause: Most expired accounts are from contracted/temporary employees or requests to change employment Solution: First, check with your supervisor on why your account is expired Inform your supervisor to contact the Staff Service Centre 1.2 Account disabled Error message: Your account has been disabled. Please see your system administrator. Cause: Most expired accounts are from contracted/temporary employees or requests to change employment Solution: First, check with your supervisor on why your account is expired Inform your supervisor to contact the Staff Service Centre 1.3 Domain isn’t available Error message: We can’t sign you in with this credential because your domain isn’t available Cause: Likely your computer is not able to access the UofA network through hard-wired ethernet connection Solution: Make sure you are connected through ethernet connection (Wi-Fi connection will not work for first time logins) Connect the ethernet cord (in picture below) Your computer should show this icon: If no connection icon shows, try unplugging it and plugging it back in You should see two small lights flashing near the network cable as shown below. 2.0 Basic issues to log into domain This section is for Central Domain users experiencing difficulty logging on to the Central Domain (sts.ad.ualberta.ca). Q: Is your Caps Lock on? Cause: Caps Lock is enabled without realizing it Solution: Check to make sure Caps Lock is off. Find the Caps Lock light on your laptop's or keyboard's strip of lights. The light is confirmation that you're in Caps Lock mode. Q: Number Pad enabled on laptop? Cause: Some laptops have alpha keys on the keyboard that can be enabled to act as a number pad Solution: Find the Num Lock light on your laptop's strip of lights to confirm that you're in Num Lock mode The Num Lock key can be called NumLock, or NumLk, or Num. Locate that key and press it to disable Num Lock. If nothing happens, try Shift+Num Lock. If the text Num Lock is shown in a different colour, find the matching colour key, such as Alt or Fn, then press that key in combination with Num Lock You're successful when the Num Lock light turns off Q: Are you using the AD password? Cause: Sometimes people get their CCID password and their Central Domain password mixed up Please note that although your CCID and your Central domain user name are likely the same, they are different accounts and are not connected Your Central Domain account is used for logging on to your computer while your CCID is used for logging on to services such as Gmail and BearTracks. Solution: Try other passwords that may be associated with your UofA computer If you have forgotten your Central Domain account password, please contact IST to create a ticket 3.0 Supported Departments under Central Q: What departments and units are currently using the central domain (sts.ad.ualberta.ca)? Find Your Computer Name
Introduction This article will help you find the name of your computer. Applicability The target audience is any University of Alberta employee. Procedure Your computer name identifies your device. IST might ask for your computer name to help with troubleshooting. Follow the steps for your computer's operating system to find your computer name. Windows 11 Select Start > Settings > System. Your computer name appears at the top of the System window. Windows 10 Select Start > Settings > System > About. Your computer name appears under Device specifications. macOS Ventura or later On the Apple menu , select System Settings > General > About. Your computer name appears at the top of the About window. macOS Monterey or earlier On the Apple menu , select System Preferences > Sharing. Your computer name appears at the top of the Sharing window.

Connecting to ALES Network Drives
Introduction This article will go over how ALES staff members can connect to their department network drives. Applicability This article is intended for ALES staff and faculty members requiring network access while not on campus or when using a wifi connection. Before you Begin IMPORTANT To connect to your network drives off campus you will need to have access to the @ales VPN context. If you have that access please continue with the steps below. If you do not have access, please have your supervisor submit a request via the service catalogue item: VPN Users (Add, Remove) Procedure This process requires the Cisco Anyconnect VPN. If you don’t already have it from IST, download the app at vpn.ualberta.ca. Open Cisco VPN and direct it to vpn.ualberta.ca Login to the VPN client as ccid@ales with your ccid password You will then have a confirmation notification The next steps will be different whether you are on a Windows or a Mac. Proceed to the page that is relevant to you. Windows Instructions 1. In Windows Explorer go to the network address \\cloudserver.ales.ualberta.ca\ You will be then prompted for a username and password. Use the format afhe\ccid and your ALES Password if it’s different from your CCID password. 2. Then you will see all the Shares Available but will only have access to the ones you have been given access to via ticket requests in the past. 3. To connect to your P Drive on ALES only, go directly to the location by using the following \\cloudserver.ales.ualberta.ca\ccid$ 4. You can choose to map all of this as well with the Map Network drive feature from the My Computer menu Remember these drives are only active with the VPN running and connected to the @ales context shown above. macOS Instructions 1. In Finder go to Connect to Server 2. Input the paths as shown for the main cloudserver shares. In this example, if you wish to map your P drive you would type in smb://cloudserver.ales.ualberta.ca/ccid$ 3. For the Shares you have permissions for you can navigate to the path below and go into your dept or group. smb://cloudserver.ales.ualberta.ca/ After clicking Connect, an Authentication window will pop up 4. Use the afhe\ccid and your ALES password 5. Choose the known P Drive shares you have access to from the list. Drives you have access to will open in the Finder. An error message will pop up if you select Drives you do not have permission to access. Remember, these drives are only active with the VPN running and connected to the @ales context shown above.
