Microsoft Office O365 Change
Introduction
This article is to help with the pending O365 changes to campus that take effect on May 31, 2024

This article is for all faculty/staff/students that have or have had an O365 account from signing up via onthehub
Upcoming Changes to University Provided Office/Microsoft 365 Account Offerings
Microsoft 365 has announced changes to its storage policy in which free data storage will no longer be available. As such, Information Services and Technology (IST) has been actively planning for this transition and making the necessary changes in response to Microsoft’s storage policy update. This involves IST transitioning eligible University Office 365 users (active staff and students) to new Microsoft 365 accounts that align with the new storage policy.
How does this impact me?
Effective June 1, 2024, current University Office 365 users will no longer be able to log in to or access their current Office 365 account provided through OnTheHub, including any data stored therein. New Microsoft 365 accounts will be automatically issued to active students and staff for use while they are with the University. As these accounts are not provided as a storage solution, data will not be exported from current accounts or migrated to the new Microsoft 365 accounts by IST.
If you wish to keep any data currently in your University provided Office 365 account (OneDrive, OneNote, etc) you must download your data by May 31, 2024. Following this date, these accounts will be discontinued and any data therein will no longer be accessible. Therefore, it is imperative that Office 365 account holders download their data prior to May 31, 2024.
What do I need to do?
To prepare for this change and prevent losing data stored in your account, download a copy of your data from your Office 365 account before May 31, 2024. To do this, follow the instructions provided in the links below.
*** In order for OneNote Notebooks to be downloaded in a useable format, please follow the instruction on the Export OneNote Notebooks section***
Additionally, if you have any installed Microsoft Office apps (Word, Excel, Powerpoint) using your current Office 365 account, you will need to log in to the Office apps using your new Microsoft 365 account credentials as of June 1, 2024. This should simply involve entering your ccid@ualberta.ca email as your username and your CCID password when you are automatically prompted to sign in by the Office software.

What happens next?
After May 31, active University Staff and Students will have new Microsoft 365 accounts automatically created for them for use during their time with the University. These accounts will be automatically synced to use your ccid@ualberta.ca email address as the user name and your CCID password. (Note: if you see a message appear after entering your login credentials asking you to choose your account type, select “work/school.”). After May 31, it will no longer be required to request Microsoft 365 accounts through the UAlberta OnTheHub.

Please be aware that we continue to offer Microsoft 365 accounts expressly for the purpose of making Microsoft Office 365 applications (Word, Excel, & Powerpoint) available to active students or staff as needed. Your new University Microsoft 365 account is not intended as a storage solution and any other uses of your M365 account can not be supported by IST.
Why is this happening?
Due to global changes by Microsoft around licensing and storage allotments, the U of A needs to modify its current offerings to now align with those from Microsoft 365.
What do I do with my data?
When requesting Office 365 accounts through OnTheHub, requesters were presented a notice that Office 365 should not be used as a storage solution. Consequently, it is required for account holders storing data in their Office 365 accounts to download their existing data and seek alternative storage options, such as your University of Alberta Google Drive, prior to May 31, 2024.

What happens if I miss the May 31, 2024 deadline?
All current University Office 365 accounts provided though OnTheHub and access to them will be discontinued after May 31, 2024, so it is imperative to ensure you have downloaded your data prior to the deadline.
Can U of A help me with downloading my data?
No. Account holders will be required to manage and download their data themselves. The steps to download your data are provided by Microsoft support in the links below.
